Customer Service Representative - Toronto

General Summary

The LightForm Customer Service Representative is responsible for managing new and existing customer service issues and communicating with clients and suppliers to ensure cases are closed with a high degree of client satisfaction while mitigating losses to LightForm.

Core Functions:

The Customer Service Representative will complete the following functions for LightForm customers:

  • Listen to client concerns
  • Troubleshoot potential issues with products on delivered orders
  • Handle escalations related to orders during and after delivery

Systems Administrator

LightForm is hiring a Systems Administrator to help manage and maintain company IT systems. Key to this role will be maintenance and support during our new website build as well as the ability to work with NetSuite. LightForm is a lighting supplier to Canada’s architecture and design professionals, with four spectacular showrooms across the country. The teams of professionals in our offices are young and passionate about design. We are a growing company with lots of potential for those looking for a rewarding and long-term position. Our Systems Administrator will play a key role in the growth of our company as we continue to build and enhance our online operations.

Our ideal Systems Administrator will be a true problem solver and will get to know the ins and outs of our business and business needs. LightForm is a smaller company, so our Systems Administrator will have to be a jack-of-all-trades and will enjoy helping those not as technically savvy as themselves.

Responsibilities will include (though not limited to):

  • Install, upgrade, and monitor software and hardware
  • Prevent problems and to improve systems’ performance
  • Keep the company’s network safe and running efficiently
  • Maintain company essentials such as operating systems, business applications, security tools, web-servers, email, PCs, local and wide area networking both hardware and software and mid-range server hardware

LightForm is currently seeking a Warehouse Clerk for its warehouse in Toronto.

Responsibilities: 
The responsibilities for this position include, but are not limited to, the following:

  • Ensuring that inventory and shipments are received and processed appropriately, efficiently, and safely in the warehouse.
  • Co-ordinating the scheduling of all inbound and outbound shipments.
  • Responsible for shipping goods worldwide.
  • Controlling product movement on the dock including shipment preparation while adhering to priority timelines.
  • Controlling warehouse inventory, equipment, and consumables.
  • Physical activity is required and includes standing, walking, bending, kneeling, and stooping; ability to lift up to 80 lbs.

Primary Responsibilities:
  • Greeting and attending to all clients who enter the showroom, making sure all inquiries are answered in a professional and educated manner
  • Taking part in product knowledge and self-education to become an expert in all LightForm brands
  • Meeting monthly sales quotas set for both Flos and LightForm showrooms
  • Preparing and reviewing showroom quotations and processing showroom sales orders
  • Helping clients create lighting plans and source fixtures for their projects
  • Maintaining relationships with clients by providing support, service, and product knowledge
  • Building LightForm’s network by recording essential details on clients, prospects and potential partners
  • Living and breathing design in order to stay current on industry trends, market activities, and competitors
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies
  • Administrative duties such as answering telephones and general office maintenance
  • Maintaining the organization and cleanliness of the showroom at all times
  • Will be required to work Saturdays

Project Coordinator - Toronto

LightForm Toronto has an opening for a full-time project coordinator for its east-coast office and showroom. The person in this position will work closely with our account executives to prepare, manage, and coordinate projects and client accounts on a daily basis. This opportunity is ideal if you are extremely organized, have a keen eye for details, and take pride in your work. You must be at ease working in an exciting, fast-paced, and deadline-driven environment. Most of all, you must have a passion for design.

Qualifications:

Our ideal candidate will have the following:

  • A degree or certificate/diploma in project management
  • Two years of experience as a project coordinator/manager
  • Excellent oral and written communication skills
  • Experience working on web based ERP systems and proficiency in Microsoft Office Suite (Word, Excel, Entourage, etc.).

Primary Responsibilities:

  • Preparing and reviewing project quotations
  • Gathering and cross checking lighting schedules, purchase orders and approvals
  • Converting completed quotes into sales orders and ensuring project specific documentation is provided
  • Preparing approval drawings and specification sheets
  • Overseeing project logistics from start to finish
  • Taking payments and processing orders
  • Tracking orders and acting as lead liase for clients regarding the status of their orders
  • Inter-departmental communication required with accounting, purchasing and warehousing departments to fulfill orders
  • Following up with clients to ensure successful and timely delivery, installation, etc.
  • Handling customer service and warranty inquiries
  • Administrative duties such as answering telephones and general office maintenace
